We are searching for a Project Coordinator to be an integral part of building the Enabling Multimessenger astronomy Inclusive Training (EMIT) program, a unique certificate program funded by the National Science Foundation to train graduate students in multimessenger astronomy and with diversity, equity, and inclusion at the core.

The EMIT Program Coordinator will work under the general supervision of the EMIT Director and will spend time at Fisk University, a Historically Black College or University, and Vanderbilt University, an R1 Primarily White Institution, located about 2 miles apart in Nashville, TN.  The Program Coordinator will be the primary point of contact for a wide range of students, faculty, and outside partners and will coordinate student-centered educational and career-development activities. As part of the Executive Team, the Program Coordinator will help shape new program policies and projects, and will be involved in recruitment, mentoring, promotion, budgeting, communication, admissions, assisting faculty advisors, progress tracking, logistics, record keeping, report writing, scheduling, and other aspects of the project as they arise. Since EMIT is a new program, the Program Coordinator must be willing to adapt and innovate as the situation demands.

Essential Job Requirements

  • Bachelor’s Degree in a relevant field of administration, natural science, or engineering
  • Evidence of commitment to diversity, equity, and inclusion
  • Experience in project management, program coordination, or organizational leadership
  • Strong time management skills; ability to operate independently, prioritize, and accomplish complex initiatives within deadlines. Ability and willingness to adjust to changing priorities on short notice and manage multiple projects with varying deadlines
  • Demonstrated ability to develop and maintain harmonious relationships in a team environment and with a diverse audience.
  • Ability to communicate successfully with stakeholders at all levels throughout a complex, diverse organization. Must have the ability to maintain confidentiality and use discretion.

Desirable Experience

  • Background in astronomy, data science, physics, or engineering, broadly defined.
  • Working knowledge of NSF traineeship programs (NRT/IGERT).
  • Experience with administrative systems, policies and procedures.
  • Self-motivated, proactive, adaptable work style, with the ability to learn quickly and to work with a variety of topics and people.
  • Ability to proactively troubleshoot problems.
  • Excellent written and verbal communication skills.
  • High proficiency in MS Office (Excel, Word), Adobe Acrobat, Slack, Zoom, and standard website interfaces
  • Experience in event planning and execution.

Equivalent education and experience may substitute for minimum requirements. This position may require working a flexible schedule on occasion (with advance notice). 

Applications will be accepted immediately and will be evaluated on a rolling basis. Start date is flexible and the initial base salary will be $50,000, with higher salaries considered, commensurate with experience.
