Job Duties

  • Reporting to the Thirty Meter Telescope (TMT) System Engineer Lead, the incumbent will:
  • Lead in the effective implementation of the Xerox DocuShare document control system at the TMT Project Office, including development, organization, use and maintenance.
  • Advise and guide the activities of the documentation teams at the TMT international partners in the US, Canada, Japan, China and India.
  • Ensure the configuration control of all TMT documentation, by applying the correct documentation processes, procedures and templates. Document and support the workflows defined in TMT for configuration control. Review documents for format, consistency and compliance with existing procedures; perform audits for document tracking and expediting.
  • Plan, manage and oversee the contents and access rights for the electronic documentation system. Coordinate new user requests and access rights with TMT's export control office.
  • Work effectively with TMT international partners to receive the delivery of documentation associated with design, development, production, verification and acceptance of hardware and software elements. Through this coordination, ensure that correct documentation standards are followed including formatting, identification, and storage.
  • Assist in the preparation and coordination of TMT Reviews.
  • Support the Change Control Board process by providing reports on the status of Change Requests, Document Approvals, and Request for Waivers, and by writing and publishing the minutes of the Change Control Board Meetings.
  • Work closely with the TMT CAD administrator, maintain document-numbering systems, and release drawings and documents to the DocuShare.
  • Maintain a master document list of all project documents under configuration control.
  • Provide support and training for the TMT Product Data Management systems, including DOORS software and DocuShare.
  • Administer the TMT PDM systems (DOORS, DocuShare and /or PDM Enterprise Solidworks) including addition/removal of users and user/group assignment and permissions.

In later stages of the project:

  • Support the roll out and use of an electronic tool for inventory tracking of all technical deliverables within the international partnership and to the observatory site. Liaise with the TMT IT group for the maintenance and evolution of that electronic tool.
  • Support the roll out and use of an electronic tool for acceptance status tracking of all hardware and software deliverables across the international partnership. Liaise with the TMT IT group for the maintenance and evolution of that electronic tool.
  • Support a smooth transition between Construction and Operations phases on documentation matters.

Minimum Requirements

  • Bachelor's degree is required with 5 years of experience in configuration management of technical documentation.
  • Knowledge in the use of requirement management software tools (DOORS preferred) for formal systems engineering requirements development.  
  • Knowledge of PDM Enterprise Solidworks or equivalent.
  • Significant experience in these areas in international or global projects is especially desired.
  • Experience in large-scale science projects, construction and/or engineering industry a plus.

Knowledge, Skills and Abilities

  • Preferable 5 years of work experience in similar positions.
  • Extensive experience working and communicating within projects or organizations of an international nature.
  • Extensive understanding of science and technical processes and documentation needs.
  • Extensive experience in organizing and controlling access to technical documentation in electronic repositories.
  • Proven ability to effectively communicate, both in oral and written forms, within large science or engineering projects.
  • Advanced office computer and web publishing (such as wiki) skills, including word processing and spreadsheet software.
  • Advanced knowledge of Microsoft Word, Excel, including macros, styles, and complex graphics. Experience with Wikis and HTML programming is a plus.
  • Extensive experience managing documentation for large technical projects, such as engineering proposals or design reviews of complex technical systems.
  • Advanced technical document editing skills are required.
  • Ability to establish and maintain effective working relationships with other employees across a large project. Self- directed, organized, proactive, flexible and autonomous person.
